Workflow Best Practices

  •  Always check to see if a workflow already exists that serves 
  • If an existing landing page needs an update to the lead assignment settings, find the existing workflow that is assigning leads instead of creating a new workflow.
  • Name workflows with Project name, campaign name, and purpose of workflow to keep them clear and organized. 
  • Include suppression lists to keep TSL employees, client's employees, or competitors out of the workflow.

Settings for Frequently Used Workflows

  • Lead assignment to contact owner
    • Enrollment Triggers:
      • Select the form and landing page that need leads assigned. 
    • Include a delay of 3-5 minutes (to allow for Hubspot to process new leads)
    • Actions:
      • Select "Set contact owner property" 
        • Contact property should be "contact owner" 
        •  
  • Email follow up series 
  • Lead Stage or Lifecycle Stage update
    • Enrollment Triggers:
      • Pageviews
      • Form Submissions
      • Lead Stage is Not SQL, SAL, Disqualified, or Customer
      • Lifecycle Stage is Not Sales Qualified Lead, Customer, or Evangelist
    • Include a delay of 3-5 minutes 
    • Set contact property "Lifecycle Stage" or "Lead Stage" to ____.

Set Up Lead Scoring

  • To find the lead scoring settings, go to Settings > "Properties" > look up "Hubspot Score"
  • Positive Attributes should include:
    • Marketing emails clicked:
      • Equal to 1 = 1 point
      • Greater than 5 = 5 points
    • Lead Stage is:
      • Equal to SAL = 25 points
      • Equal to SQL = 50 points
      • Equal to MQL = 5 points
      • Equal to SQL = 50 points
    • Contact has viewed certain, important pages of your specification = 1-10 points depending on value or user intent.
    • Number of Page views:
      • Less than 10 = 3 points
      • 10-50 =  5 points
      • 50+ = 15 points
    • Any form on any page: 
      • Less than 4 days ago = 150 points
      • More than 3 days, less than 6 days = 100 points
      • More than 5 days, less than 10 days = 50 points
      • More than 9 days = 25 points
  • Negative Attributes should include:
    • Email property contains: tslmarketing, mktgsv, and client's email domain or competitors email domains. = -200 points
    • Phone number is unknown = -10 points
