Assigning Contacts to a Contact Owner

If the HubSpot account is limited or free and you do not have access to Active Lists or Workflows so use the Contact Filter View (process below) to reassign contacts manually.

  1. Go to Automation > Workflows
  2. Check for any existing workflows that may be auto-assigning leads for your campaign to a certain Contact Owner and turn it off. (Do not turn off workflows that are not related to your particular campaign/efforts.)
  3. Create a new workflow. 
    1. Create a new workflow. 
    2. Choose contact-based. 
    3. Choose "start from scratch."
    4. Click "Create workflow."
  4. Set Enrollment triggers to:
    1. Form submission
    2. Select the form and the landing page for your campaign. (Add more than one form/landing page with the "OR" function.)
  5. Add a new action:
    1. Delay - 2 minutes 
  6. Add a new action:
    1. Set contact property value.
    2. Contact property: Contact owner
    3. New property value: [New person taking over the leads.]
  7. Click Save. 
  8. Review the workflow. Turn the workflow on. 

 

Reassigning Contacts to a New Contact Owner

    1. Create a new workflow. 
    2. Choose contact-based. 
    3. Choose "start from scratch."
    4. Click "Create workflow."
  4. Set Enrollment triggers to:
    1. Form submission
    2. Select the form and the landing page for your campaign. 
  5.  Add a new action:
    1. "Clear contact property value"
  6. Add a new action:
    1. Delay - 2 minutes 
  7. Add a new action:
    1. Set contact property value.
    2. Contact property: Contact owner
    3. New property value: [New person taking over the leads.]
  8. Click Save. 
  9. Review the workflow. Turn the workflow on. 

 

Using Contact Filter View

Use these instructions for any campaigns where you have to manually assign leads in a portal that doesnt have workflow capabilities. 
  1. Go to Contacts > Contacts
  2. Click "Add filter" on the left side of your screen. 
  3. Find and select "Form submission"
  4. Select your form.
  5. SAVE the list if you intend to come back to it frequently. 
  6. When saving, you'll be prompted "chang ethe audience for this filter." You can choose "everyone" option if you intend to share this view with other team members.
